CA-Ready Reports: What Your Accountant Actually Needs From You Every Month

Ask any chartered accountant what slows them down and the answer is the same: clients who hand over a shoebox — screenshots, half-remembered payments, a bank statement with no context. The fix costs you one tap a month if your books are structured right.

The monthly package your CA wants

  1. Full transaction statement (Excel). Every entry with date, amount, debit/credit, payment mode, category, party, and your note. Excel, not PDF — your CA will filter and pivot it.
  2. Cash book. Cash entries separately — cash handling gets extra scrutiny in any audit, and a clean cash book with running context answers questions before they're asked.
  3. Bank & UPI book. The digital-payments mirror of your bank statement, but with meaning attached: what each payment was for and who it went to. Reconciliation becomes minutes.
  4. Profit & loss (cash basis). Income by head (client payments, RA bills, advances received) versus expenses by head (material, labour, fuel, machinery...). Your CA converts to whatever basis compliance needs — your job is completeness.
  5. Outstanding: receivables and payables. Who owes you, whom you owe, party by party. Essential for year-end and priceless for your own cash-flow calls.

The three habits that make these reports trustworthy

Tag everything within a day or two. Untagged entries become "Miscellaneous," and Miscellaneous is where CAs raise queries and taxmen raise eyebrows.

Separate business from personal. One switch per entry. Family spending routed through business books creates the exact mess that costs CA hours (billed to you).

Keep the bank remark attached. Every imported or captured entry should carry the original narration — it's the evidence trail your note summarises.

Format notes

Send Excel (CSV opens fine) for anything your CA will work on, and PDF only for statements meant to be read or shared as-is — a party ledger you're sending to a client, for instance. Name files clearly: Statement_July2026.xlsx beats export(3).xlsx forever.
