Every contractor gives advances — to mistris before a festival, to supervisors for site expenses, to labour against next month's salary. And every contractor has, at some point, lost track of them. The traditional bahi-khata solved this with a running ledger per person. The digital version should work exactly the same way — with two accounting details most apps get wrong.
Each person (or firm) gets a ledger. Money you give them — advances, payments — goes in the You Gave column. Money you receive from them goes in You Got. The running balance tells you instantly: positive means they owe you, negative means you owe them. Add an opening balance for where things stood the day you started, and history doesn't matter — the ledger is always current.
Suppose Ramesh has taken a ₹5,000 advance and his monthly salary is ₹15,000. You hand him ₹10,000. The correct recording:
His ledger now shows the advance settled, and your cash book shows exactly ₹10,000 leaving — which matches reality.
That ₹5,000 "recovered" never entered your pocket — it was deducted on paper. If your app counts it as income, your profit & loss is inflated by every deduction you make. The recovery entry must be a ledger-only adjustment, excluded from income totals. (Over time the maths stays honest: the ₹5,000 advance was an expense when given; the salary expense is the ₹10,000 net; together = ₹15,000, the true gross salary cost.)
An advance to a labour contractor working on your tunnel package is a tunnel-package cost. Tag it to the project when you give it, and your project P&L stays truthful even before the work is billed.
Record the advance the moment you give it — it takes ten seconds on a phone and saves the "was it 5 or 7 thousand?" argument three months later. When a person's ledger is one tap away, you can also settle disputes on the spot by showing the running balance, dated, entry by entry.
