How to Import Your Bank Statement Into an Expense Tracker (HDFC, SBI, ICICI & others)

If you're starting proper books today, your history is sitting in your bank statements. Typing it in manually is how good intentions die. Importing it takes minutes — if you know the two rules.

Rule 1: Download Excel or CSV, never PDF

Every netbanking portal offers statement downloads in multiple formats. PDF is for printing; Excel (.xls/.xlsx) or CSV is for importing. In HDFC NetBanking it's under Enquire → Account Statement → choose "Delimited" or Excel; SBI's Yono/OnlineSBI and ICICI's iMobile portals have similar Excel/CSV options. If you only have a PDF, go back and re-download — converting PDFs is unreliable.

Rule 2: Understand your bank's columns

Indian bank statements follow two patterns:

A good importer detects either automatically. The other columns that matter: Date (formats vary — 01/04/2026, 01-Apr-26, or Excel's internal date numbers), Narration/Remarks (keep this — it's your memory of what the payment was), and Ref/Cheque No.

What a clean import should preserve

A practical workflow for years of history

  1. Download statements one financial year (or 6 months) at a time — most portals cap the range anyway.
  2. Import the oldest first.
  3. After each file, spot-check five random entries against the statement.
  4. Tag at your own pace — even untagged, the entries already power your cash totals and party matching.

An hour of this and your books go from "starting today" to "complete since 2023."
